Civil Litigation Assistant/Law Clerk

Our client, a mid-sized, Ottawa law firm, is looking for a legal assistant/law clerk to support one senior lawyer in their busy construction and civil litigation practice. The ideal candidate will have minimum of five (5) years of relevant work experience, be comfortable handling large files and ensure a high standard of quality and customer service.  

 

Key Responsibilities:

  • Opening, maintaining client files, and closing of files for storage;
  • Preparation of correspondence and legal documents, court materials, and assembly of documents both electronically and hard copy, including editing, quality assurance to ensure accuracy and efficiency;
  • Manage electronic organization of all correspondence documents in document management system and in accordance with court filing procedures, signing and filing of documents;
  • Preparing internal and external communications including letters, emails, memos, and telephone calls;
  • Manage client file deadlines and BF system;
  • Maintain lawyers’ calendars, scheduling of appointments and web meetings, conference calls and providing reminders;
  • Docketing, preparation, delivery of invoices and following up on outstanding accounts;
  • Dictation;
  • Faxing, photocopying, scanning; and
  • Other duties as required.

Qualifications:

  • Excellent knowledge of Rules of Civil Procedures, Construction Act, and Liens
  • Legal assistant/Law Clerk diploma/certificate an asset
  • A combination of education, training and experience will also be considered
  • "Must have" advanced skills in Microsoft Word, Excel, Outlook, Adobe Pro, with excellent keyboarding and grammar skills
  • Excellent organizational skills, with the ability to work well under pressure
  • Confident and dependable, with strong initiative and ability to work both independently and in a team-oriented atmosphere
  • Strong verbal and written communication skills
  • Working knowledge ACL and Ghost Practice would be an asset
  • Excellent command of the English Language. The ability to speak in French would be a strong asset.
  • Must be able to legally work in Canada.
